What we collect, why, who handles it for us, and how to get it deleted. Short on purpose.

Who we are

Sharp Pencil is a service of Sharp Pencil LLC, a limited liability company organized in Georgia. In this page, "we" and "us" mean Sharp Pencil LLC, and "you" means the contractor, or the company, that uses the site. You can reach us at [email protected].

What we collect

Your account. Your name, work email address, company name, and a phone number if you give us one. You sign in with a link sent to your email.
Your files. The drawing sets and specifications you upload, any price book or cost data you give us, and anything you attach to a job.
Your jobs. The takeoffs we produce for you, the questions we ask and the answers you give, and the messages you send on a job page.
Your payments. Payments are taken by Stripe. We receive the plan or item you bought, the amount, the date, and a payment reference. We do not see or store your full card number.
Your messages to us. Emails you send us, and anything you type into the chat on our site, including the email address you leave if you ask us to reach out.
Basic site activity. Standard server logs, such as the pages requested and the time. Our public pages also run a visitor analytics script from Apollo.io, which records which pages are visited and may associate a visit with the visitor's company.

How we use it

To produce your takeoff, deliver it, and answer your questions about it.
To run your account, take payment, and send you the emails that go with a job, such as your sign-in link and your delivery.
To keep the service secure and to fix problems.
To reply when you write to us or ask us to reach out.

Your files and your cost data are used to produce your takeoff, price your estimates and run your account. Uploaded drawing sets may also help improve how the system reads drawings, but never your cost data, your prices, or anything that identifies you or your company, and nothing is shared or sold. We do not bid roofing work. The full commitments are on the Your data, your bids page and they are part of our terms.

What we do not do

We do not sell your information. We do not share your drawings or your cost data with competitors, manufacturers, data brokers, general contractors, or anyone else. We do not build reports or market insights out of your bids.

Who handles data on our behalf

We use outside service providers to run the service: payment processing (Stripe), cloud hosting and file storage, email delivery, AI processing, and website analytics. They handle your information only to provide that service to us, under terms that restrict how they may use it. We may also disclose information when the law requires it, or to protect the safety and rights of our customers and of Sharp Pencil.

How long we keep it

Plan sets are deleted whenever you ask by email to [email protected]. Automatic deletion 90 days after upload is being rolled out.
Your account, your job records, your delivered takeoff packages, and your price book stay until you ask us to delete them. Ask by email and we remove them and confirm in writing.
We keep payment and tax records for as long as the law and our accounting require.

How we protect it

Plan sets upload directly to secure storage, never through an inbox. Files travel over encrypted connections. Access inside Sharp Pencil is limited to the people and systems that need it to produce your takeoff or support your account. No system is perfectly secure, and if something affecting your information goes wrong we will tell you directly.

Your choices

You can ask us to show you what we hold about you, correct it, export it, or delete it. Email [email protected] from the address on your account and we will respond. If you live in a state that gives you additional privacy rights, the same email address is how you use them.

Cookies and similar tools

We use a small amount of browser storage to keep you signed in and to make the upload page work. The analytics script described above may set its own cookies. You can block cookies in your browser settings, and the public pages will still read.

Who this is for

Sharp Pencil is a business service for commercial roofing contractors. It is not meant for children, and we do not knowingly collect information from anyone under 18.

Changes

If this page changes, the page changes first and existing customers are told directly, not quietly. The date at the top says when it was last updated.
